Form 2- Use of Parish Facilities

USE OF PARISH FACILITIES
RESPONSIBILLITIES


1.          Importance. With increased activity in the Parish, there is a need to reset our responsibilities on the use of Parish facilities so that we maintain what resources we have in a functioning condition and reduce expenditure from our limited parish finances or repairs and maintenance.

2.          Parishioners.  Parishioners have a responsibility to ensure that children are supervised at all times especially not left unattended in or around the toilets or Welcoming Room.  Any items broken or misused are the responsibility of parishioners and must be reported to the Parish Administration.

3.          Ministry Leaders/Coordinators.  In many respects, you are the representative of the Parish in the exercise of your ministry leadership and you are responsible for ensuring that parish facilities are used respectfully and sensibly so that other ministries can also use the facilities another day.  Please make sure that there are adequate controls so that any possible risks are forestalled and eliminated.

4.          Meetings.  Notice of meetings should be provided to the Parish Secretary in advance to ensure double booking does not occur and that the Parish Administration knows who is using our facilities at any time.  Meeting attendance lists are available in each room and must be completed to allow a record of attendance to be kept by the Parish.  Rooms should be left tidy with chairs and tables reset for other use.

5.          Tea and Coffee.  While the use of the Parish tea and coffee making facilities is a benefit offered to meeting attendees or gatherings, the expectation is that facilities be left in a clean and tidy condition with all items used washed and returned to drawers.  The use of the tea and coffee facilities and the Central kitchen are listed on Form 3.

6.          Building Security.  A new electronic security system has been installed so that the Centre is automatically alarmed at 10 pm and disarmed at 8 am. There is therefore no need to secure the building at night.  However, those with special access needs have been issued with an EM tag that can open the external doors and deactivate the alarm.  The EM tag can reset the locks with one tap or reset the alarm with three taps.

7.          Safeguarding.  All parishioners have a responsibility to safeguard children and adults at risk.  Ministry leaders and coordinators do have a further responsibility to be vigilant of appropriate behaviour around children and adults at risk and to take remedial action where necessary.  The Parish Professional Standards document can be sourced at the Parish Website. 

8.          Working With Children Check.  Any parishioner who volunteers in a role that involves children or adults at risk MUST hold a current WWCC, linked to the Parish.  Validity of this can be checked with the Parish Safeguarding Officer.
